Athletic Director and Sports Complex Manager

Time Required: Part Time (Contract August - June)

Responsible To: VCS Administrator

Responsibilities: The Athletic Director/Sports Complex Manager at Valley Christian School has broad but overlapping areas of general responsibility.  These areas include the following:


Athletic Director:

  1. Demonstration of Christ-like character and leadership and facilitate good sportsmanship in the areas of supervision, delegation, management, communication and implementation.
  2. Help identify, hire and evaluate coaches according to the mission and purpose of VCS.
  3. Preparations of an annual VCS Athletic Department Business Plan – oversee and recommend the athletic budget with the Administrator.  Help Procure and maintain community sponsors for gym and game program advertising.
  4. Meet with the administrator regularly to collaborate department-wide goals and share vision for the program.
  5. Oversee and ensure effective VCS Athletics communications to competing schools, staff, parents and students in conjunction with coaches (Emails, Website, Team Snap, etc.).
  6. Organizing and monitoring athletic fundraising activities.
  7. Monitoring the athletic eligibility process in conjunction with the Guidance Counselor and Teachers.
  8. Scheduling and monitoring VCS award’s programs, practices and games in facilities.
  9. Representing VCS at all league and WIAA meetings when necessary.
  10. Manage the storage, organization and inventory of uniforms, equipment and supplies.
  11. Helping coaches with the purchase of uniforms and equipment.
  12. Working closely with Administrator, athletes, coaches, parents and fans to ensure adequate progress toward program goals and strategies.  Actively survey and recruit students for team sports.
  13. Schedule and communicate regularly all athletic events and updates with respect to the master calendar of the school and keep current on the school website.
  14. Maintain WIAA online rules clinics per season and update school and coach information when necessary.
  15. Update WIAA website, league website, MaxPreps website or related sports website as required for each sport season.  Be prepared for media representation on behave of VCS Athletics.
  16. Work with and help oversee the VCS Booster Club and its activities to support the athletic programs at VCS. Booster Club provision of concessions for games and other fundraised support provides extra needed financial resources for programs and equipment identified by the AD.
  17. Work with office staff to obtain clerical support with game programs, advertising of events, etc.
  18. Oversee home based sporting events (i.e. organize and supervise set-up, clean-up and lock up).
  19. Evening game/event duty time is part of the overall employment contract and would be defined as but not limited to game night or track meet set-up, oversight, clean-up and closure. This includes being the authoritative presence at the home games making sure behavior, security and emergency issues are pro-actively supervised.  The ticket booth and concession stands are also the responsibility of the Athletic Director to oversee and work with Booster Club to staff with volunteers.


Sports Complex Manager:

  1. The management of the VCS Sports Complex (athletic facilities) is an additional position that works in conjunction with the other Athletic Director responsibilities and activities. In addition to the AD regulation of VCS practices and other school-related athletic events on the Campus, the Sports Complex Manager is responsible to oversee, schedule and maintain rental and approved volunteer use of all VCS athletic facilities including gyms, fields and track stadium. These uses may include long term renters housed on the campus, seasonal hourly renters, and scheduled Tournaments for various organizations, etc.
  2. Use of a Master Facilities Calendar and Legal Contracts for Renter Agreements will be maintained and created for returning and new renters. The VCS Annual Budget is dependent on the rental of its surplus facilities and the Sports Complex is a significant part of that revenue.
  3. The Sports Complex Manager will maintain a positive community relationship and rapport with all VCS facilities users and work to maintain unity among all the organizations that are housed on and sharing our Campus.
  4. Invoices and collection of income generated from renter contracts will be under the responsibility of the Business Manager and in conjunction with the Sports Complex Manager to ensure all payments are collected in a timely and efficient manner.
  5. Sports Complex janitorial, maintenance and set up needs will be communicated to and coordinated with the Head of Facilities Maintenance.



  • Minimum BA/BS Degree.
  • ACSI Athletic Director Temporary, Standard, or Professional Certificate (or willingness to acquire) Teaching certificate also if teaching at VCS.
  • WA State Teaching Certificate (preferred, not mandatory) if also teaching at VCS.
  • Committed Christian Life/Testimony.
  • Experience in athletic directorship.
  • Experience with facilities management and rental.
  • Passion and vision to work with and help mentor young athletes, coaches, parents in a Christian school environment.
  • Well organized, an excellent communicator, good with public relations and computer literate.
