Administrative Assistant

GENERAL DESCRIPTION: The Administrative Assistant is assigned duties by the Administrator. Under the direction of the Business Manager, he/she may also work on various projects with other school personnel and parents. These may include working with other members of development, marketing, admissions, athletic director, parent-teacher fellowship, or any other school-affiliated group/committee.

    • Intermediate to Expert knowledge of online database functions.

    • Establish and maintain cooperative and effective working relationships with children, parents and school employees
    • Ability to multi-task
  • Experience:
    • Administrative Assistant, receptionist, and clerical support experience; computer skills. Intermediate Microsoft Office Suite knowledge, school office experience preferred but not required.
  • Education:
    • High School Diploma or equivalent

TIME REQUIRED: Part-Time, 175 days, 8 hours/day, 7:30 A.M. – 4:00 P.M

RESPONSIBLE TO: Business Manager

PRIMARY RESPONSIBILITIES:

  • Prepares and distributes correspondence, and other school-related documents and forms.
  • Maintains Outlook Calendar
  • Maintains school calendars, master, administrative, faculty, sports, and academic (to include tracking WA State instructional hour offerings)
  • Schedules meetings and interviews
  • Makes travel arrangements as directed by the Administrator
  • Schedules First Aid/CPR class and maintain a log
  • Coordinates in-service and staff retreats including refreshments and snacks
  • Maintains office test, activities, and transportation boards for field trips
  • Coordinates field trip request forms, creates permission slips, notifies transportation
  • Supervises all school record keeping as required by the State of Washington and school administrator
  • Submits annual state reports to the Office of Superintendent of Public Instruction (OSPI) and the Association of Christian Schools International (ACSI)
  • Manages school communications – weekly newsletter, family email and text blasts, school-related notifications, and teacher/staff correspondence
  • Registers VCS for all school events
  • Coordinates administrative assistant tasks for Speech Meet: responsible for communications, certificates and event program. Assists with event day tasks
  • Coordinates Volunteers - Responsible for completing background checks on all volunteers via the WSP Watch website. Creates and maintains the approved volunteer list and distributes it to staff and faculty
  • Coordinate and schedule school student and staff pictures – fall, spring, and sports pictures with a photography studio
  • Maintains and orders office supplies for teachers and staff
  • Create and update all office forms as needed
  • Orders curriculum for grades PreK – 12 and Home School
  • Maintains all school policy and procedure handbooks and minutes for board manual
  • Updates all schedules for elementary, secondary, morning prayer and devotional, supervision, chapel, and emergency drills
  • Updates and prepares new employee orientation binders and substitute teacher binders
  • Enforces dress standard for female students; counsel students about violation notifies parents and records information in FACTS
  • Notifies parents of violations (gum, cell phone, facility, and van/bus behavior)
  • Manages building keys, check-in and checkout process
  • DSO (Designated School Offical for SEVIS) backup for PDSO
  • Processes incoming and outgoing mail
  • Ensures office is organized and clean
  • Provides clerical assistance to staff as needed
  • Assists receptionist with first-aid medical care to students and contacts parents/guardians
  • Assists receptionist with monitoring sick children and gives medication as instructed by parents
  • Operates office machines, i.e., copier, fax, postage, laminator
  • Completes various projects as requested by the Administrator
